Frequently Asked Questions
Quick answers on how ChurnTrack works, what it replaces (and doesn’t), and what you can expect day to day.
Do I need a card to start?
Yes. A card is required to start your free trial.
Can I cancel anytime?
Yes. You can cancel your subscription at any time from your billing settings.
What happens when I upgrade or downgrade?
Your subscription starts with a free trial, then renews monthly. If you cancel, you retain access through the end of your current period.
What exactly does ChurnTrack do?
ChurnTrack helps you proactively prevent churn by tracking client health, renewal timing, contact recency, reminders, notes, and churn reasons in one place. It surfaces at-risk accounts early so you know who needs attention and why.
How is this different from a CRM?
A CRM is primarily for managing sales pipeline, contacts, and deal activity. ChurnTrack is focused on retention. It provides health scoring, churn risk detection, renewals visibility, and workflows that drive follow up.
Why do I need this if I already use HubSpot, Salesforce, or another tool?
Those tools can store customer data, but they typically do not give you a dedicated, opinionated retention layer with churn focused scoring and alerts out of the box. ChurnTrack complements your CRM by making who needs attention and why obvious and actionable.
What problem does this solve that I cannot solve today?
You can track churn manually, but it is hard to do consistently, at scale, and early enough to change the outcome. ChurnTrack reduces blind spots by standardizing health signals and making follow ups systematic instead of reactive.
Who is this best suited for?
It is best for subscription or retainer businesses managing many ongoing customers and renewals where churn prevention is a constant priority. Teams that want a lightweight retention operating system without enterprise complexity benefit most.
Can this work for non agency businesses?
Yes. Any business with recurring revenue, renewals, or ongoing accounts can use it. The health framework applies to SaaS, memberships, services, and B2B accounts, not just agencies.
How does the health scoring work?
Health is shown as Green, Yellow, or Red based on renewal timing and last contact timing. In Settings, you can choose the thresholds for each status and whether both signals must match or either one can match when both are enabled.
Can I customize the scoring rules and thresholds?
Yes. Scoring is most useful when it matches your business reality, so rules and thresholds are designed to be configurable. You can tune what healthy or at risk means based on your retention model.
How accurate is the churn risk detection?
It is only as strong as the data you keep current. ChurnTrack is designed to give you a clear, explainable signal based on renewal timing and contact recency, and it becomes more useful as your team keeps dates and follow-ups up to date.
What data do you use to determine risk?
ChurnTrack determines risk by proximity to renewal and by last contact. These settings can be easily adjusted and customized to fit your business profile.
How does the Stripe integration work?
ChurnTrack can connect to Stripe and pull eligible customers with active or trialing subscriptions into your client list. Imported records can include customer details and subscription renewal timing so you can track those accounts alongside manually added clients.
Is the Stripe sync automatic, and how often does it update?
After connecting Stripe, you can use Refresh (Stripe) on the Clients page any time to pull the latest eligible customers. That gives you a simple on-demand way to keep your list current.
What if we do not use Stripe?
You can still use ChurnTrack by importing your client list with CSV or adding clients manually. You still get health scoring, reminders, notes, reports, and retention visibility. Stripe is optional.
How long does setup take?
Basic setup is typically quick. Connect data sources, import customers, and configure scoring rules. Most teams can get to a usable first version the same day, then refine over the next week.
Do you offer onboarding or migration help?
ChurnTrack includes in-app onboarding, a User Guide, and CSV import/export tools to help you get started quickly. If you need extra help, you can contact support from inside the app.
Can I import my existing client list easily?
Yes. You can import your client list with CSV. ChurnTrack provides a downloadable template so you can use the correct column headers and get started with just the required fields.
Can I export all of my data anytime?
You can export your client list, the at-risk report, and each analytics chart as CSV whenever you need a spreadsheet for reporting or handoffs.
What happens if we cancel our subscription?
You retain access through the end of your billing period, and your data remains exportable. After cancellation, access is removed according to the plan retention policy, but you will not be locked in without a way to retrieve your data.
Is our data secure?
ChurnTrack is built with standard security practices including encrypted transport, secure storage, and restricted access. The product is designed to minimize sensitive data exposure while still enabling retention insights.
How do you handle access control for teams?
ChurnTrack does not currently support shared team workspaces, roles, or per-user permissions. Each signed-in account can only access its own data.
Can multiple team members use it?
Not today. ChurnTrack currently works as a single-account workspace, so shared multi-user access is not available yet.
Does it support team based permissions or roles?
Right now ChurnTrack does not support team based access control, roles, or per user permissions.
Does it send automatic reminders or alerts?
Yes. ChurnTrack creates in-app alerts when a client becomes Red or Yellow, and you can also enable a weekly at-risk email digest. You can add reminders on client profiles for your own follow-up dates as well.
What reports and analytics are included?
ChurnTrack includes a print-friendly at-risk report plus analytics for health distribution, upcoming renewals, contact cadence, churn reasons, churn trend, at-risk alerts versus follow-ups, and engagement score distribution.
Can I export the analytics charts?
Yes. Each analytics chart has its own CSV export option, and each export is available directly from the Reports & Analytics page.
How does this actually help reduce churn in practice?
It reduces churn by shortening the time between a risk signal appearing and the team taking action, and by making follow up consistent across all accounts. Instead of guessing who needs attention, you work a prioritized list with clear reasons and next steps.
What measurable ROI can I expect?
ROI typically shows up as retained revenue with fewer cancellations and more renewals saved, and reduced labor with less manual tracking and chasing. Even saving a small number of accounts can cover the subscription cost quickly.
Why is pricing $100 per month and what justifies that cost?
It is priced to be far cheaper than enterprise churn tools while still delivering real retention leverage through visibility, automation, and time savings. If it helps prevent even one churn event or saves a few hours of manual work monthly, it usually pays for itself.
What happens if we exceed 5000 clients?
You can move to a custom plan designed for larger datasets and performance needs. The goal is to keep the product fast and reliable as your account volume grows.
How does this compare to tools like Gainsight or ChurnZero?
Those are powerful enterprise platforms with broader scope, heavier implementation, and significantly higher cost. ChurnTrack is simpler to adopt, more lightweight to operate day to day, and focused on practical churn prevention without the overhead.
Is this replacing our CRM or working alongside it?
It is designed to work alongside your CRM, not replace it. Your CRM remains the system of record for sales and customer data, while ChurnTrack becomes the retention focused layer.
What makes ChurnTrack different from tracking renewals in a spreadsheet?
Spreadsheets can list renewals, but they do not automatically detect risk signals, standardize health scoring, or drive consistent follow up workflows. ChurnTrack turns renewals into a living system that is prioritized, signal driven, and operational across a team.
What if I need support or have feedback?
